Analysis

The city contracted with BrandEra, an advertising agency in Fort Worth, in 2015 for its Live Life Grand advertising campaign in the amount of $500,000.   BrandEra won the contract after being selected as the top agency in response to RFB #15005 in November 2014. 

 

The 2017 Live Life Grand budget is already committed, and the new Live Life Grand contract does not start until January 2018.  With Epic Waters opening late 2017, the City would like to exercise a change order in the amount of $125,000 to the current contract increasing the 2017 contract amount to a total of $625,000.  This would allow us to secure advertising for Epic Waters fall 2017 via the Live Life Grand campaign during the year-round indoor water park’s critical first months of operation. 

 

Future renewal terms would remain in the amount of $500,000 with the exception of renewal 3 which would decrease to $375,000 to fund this change order.

 

Initial Term(Jan-Dec 2015)  -  $500,000

Renewal 1 (Jan-Dec 2016)  -  $500,000

Renewal 2 (Jan-Dec 2017)  -  $500,000 + $125,000 (proposed change order)

Renewal 3 (Jan-Dec 2018)  -  $375,000 (proposed monetary decrease at renewal)

Renewal 4 (Jan-Dec 2019)  -  $500,000

Total                                   =   $2,500,000*         *no change in total from amount previously approved by City

Staffing is proposing to spend some of the 2018 campaign budget in late 2017 to coincide with Epic Waters grand opening and reduce accordingly the 2018 campaign budget.

 

Financial Consideration

Funds are available in FY 2017/2018 Proposed Hotel Motel Operating budget 172010-61725 effective Oct. 1, 2017, and will be charged accordingly through the end of the current fiscal year. Funding for future fiscal years will be paid from that year's approved budgets.
