Analysis

This agreement is for a laser show for Prairie Lights including but not limited to production of a laser light show of four shows an hour, providing all equipment (e.g. laser projectors, snow machines, fans, screen, and sound system,) one song, each show, must contain artificial snow falling on patrons, and all personnel required for operation of the show.

The agreement requires a $10,000 upfront payment plus 48% revenue share of the tickets sold to the show.  The two year average ticket revenue for the show is $65,000.  Based on the 48%  revenue share $31,200 is the estimated annual revenue share due to the vendor under this price agreement.

Notice of bid#16141 was advertised in the Fort Worth Star Telegram, The State’s Electronic Business Daily, and Bid Sync; it was distributed to fifteen vendors.  There were no bidders from Grand Prairie.  A total of three bids were received as shown on attachment A.

The award was based on Best Value criteria specification, including reputation, quality of service, presentation, price, work history, if they were local, and other relevant criteria as listed in the specification.

Edward Hillers company was the “Best Value” bidder.

 

Financial Consideration

Funds are available in the Prairie Lights operating budget 318410-61065 and will be charged accordingly.  Funding for future fiscal years will be paid from that year’s approved budgets.
