Analysis
On February 3, 2015, Council approved a construction contract with Mart, Inc. in the amount of $613,500 for renovations to the Briefing Room, CMO suite, the Former Finance area, and the Water Utility Services area, plus $10,000 for IT network cabling infrastructure upgrades, plus a 5% contingency in the amount of $30,675, plus $12,000 for additional security access installations and miscellaneous related costs for a total request of $666,175.
On October 13, 2015, Council approved Change Order Nos 1 through 4 totaling $60,536.76. Since that approval, Change Order No. 5, totaling $36,476.10 has been approved through CMO authority. Changer Order No 6, totaling $26,761.44, brings the change order total above the $50,000 threshold and necessitates Council action. At this time, City staff is requesting Council approval of Change Order Nos. 5 and 6 in the amount of $63,237.54, described below as follows:
Change Order No. 5 in the amount of $36,476.10 provides for installation of a new door in Room 128 of Economic Development, removal and replacement of existing window film shading treatment in several existing windows within the Mayor/Marketing suite area for consistent appearance with other windows in the facility, removal and replacement of wood base, crown molding and other trim elements in the Mayor’s office, modifications to the new Kitchen serving the Briefing Room inclusive of a new ice maker, oven and dishwasher, and the relocation of various existing mechanical equipment items away from hard ceiling areas in the Mayor/Marketing suite for future maintenance accessibility
Current Change Order No. 6 in the amount of $26,761.44 provides for a privacy partition at the Intern Desk area in the CMO suite, blocking and power/data outlets for two offices in support of a new TV monitor,relocation of a major junction box above the marketing reception area to an accessible ceiling area plus 3 new convenience outlets, credenza millwork renovations in the CMO suite, modifications of the briefing room ceiling to accomodate a new motorized projection screen, rework of the security doors in the main hallway serving the Briefing Room and Council Chambers, and installation of new directional exit signs as required by the Fire Marshal’s office.
Financial Consideration
Funding for change order/amendment Nos. 5 and 6 to the Briefing Room/CMO Renovations Contract with Mart, Inc., in the total amount of $63,237.54 is available in Municipal Facilities Capital Projects Fund (405090) WO #01502303 (Remodel BR and CH Phase II).
