Analysis
Based on best price for most content, Recorded Books is the Staff's recommended for award vendor for RFP#18090 for digital e-audio content. Over five years the total paid is up to $56,000. Customers will have access to Recorded Book’s entire One-Click collection, and the Grand Prairie Public Library system may purchase up to $5,000 a year in additional content. Regarding e-audio books, in 2017 we had 1,253 customers check out 4,261 books; and in 2018 to date 1,169 customers have checked out 4,526 books. That breaks down to a low cost of per use of $1.37-$1.46. In the past, we only offered what was available in the One Click collection for the base fee of $6,200 a year. In this new contract, we are adding the potential to spend up to $5,000 in additional content, anticipating e-audio books will be popular with The Epic (and Summit) customers during work outs.
Notice of RFP# 18090 was advertised in the Fort Worth Star Telegram, and Bid Sync; it was distributed to 13 vendors. There were 0 GP Vendors Grand Prairie vendors available for this commodity. Four responses were received as shown on attachment A. The award was based on best value criteria set up in the specification, including digital content variety, ongoing maintenance costs, price, ease of use for customers, narration quality, and other relevant criteria as listed in the specification. Recorded Books meets specifications and is recommended for award.
