Analysis
The contract allows for one-time document scanning service for the City of Grand Prairie Building Inspections and Engineering Services Departments. The Building Inspections and Engineering Services department have approximately 100,000 sheets of large format drawings that need to be scanned and saved to flash drives or disk. The largest format is 36"x42". The majority of the sheets are 24"x36". There are also some Mylar prints 24"x36". The plans are rolled with various number of sheets. The City will review and identify what needs to be scanned. The service is needed prior to Municipal Complex construction completion for space.
Notice of bid#19068 was advertised and viewed by 27 vendors, including one Grand Prairie vendor. Sixteen (16) bid responses were received as show on attachment A.
The low bid received from Doculynx in Arlington , TX meets specifications was recommended for award by purchasing.
Financial Consideration
Funding to award a contract Document Scanning Services from Doculynx for our Development Center in the amount of $50,000, is available by approving an ordinance transferring and appropriating from the unobligated fund balance in the Capital Reserve Fund (402590) to WO #01913803 (FY19 Planning and Development)

NOW, THEREFORE, BE IT ORDAINED BY THE CITY COUNCIL OF THE CITY OF GRAND PRAIRIE, TEXAS:
SECTION 1. THAT THE FY 2018/2019 Capital Improvement Projects Budget be amended by transferring and appropriating $50,000 from the unobligated fund balance in the Capital Reserve Fund (402590)WO #01913803 (FY19 Planning and Development)
