Dallas, Texas, as the primary for irrigation heads for up to $6,307.20 annually with the option to renew for four additional one year periods totaling $31,536.00 if all extensions are exercised; award Boardtronics as primary for timing and LTC irrigation parts for up to $12,475.95 annually with the option to renew for four additional one year periods totaling $62,379.75 if all extensions are exercised; award Professional Turf as secondary for LTC irrigation parts up to $16,914.82 annually with the option to renew for four additional one year periods totaling $84,574.10 if all extensions are exercised; authorize the City Manager to execute the renewal options with aggregate price fluctuations of the lesser of up to $50,000 or 25% of the original maximum price as long as sufficient funding is appropriated by the City Council to satisfy the City's obligation during the renewal terms

This price agreement is for the purchase of irrigation system parts including sprinkler heads, timing mechanisms and network LTC controls for regular maintenance at City golf courses.The network LTC controls are the electronic interface modules, located in each of the 28 satellite controllers in the systems. The units become degraded over time due to lightening strikes, continual moisture and heat and cold cycles.
Notice of bid #16070 was advertised in the Fort Worth Star Telegram, the State's Electronic Business Daily, Bid Sync, and distributed to 18 vendors. There were no known Grand Prairie vendors. Three bids were received as shown on attachment A.
The low bid, for items 1-4, received from Professional Turf, did not meet specification as the units are not compatible with the existing swing joint connections. The second low bid from Longhorn Inc meets the specification and is recommended for award. The low bid for timing mechanisms (items 5-6) and LTC irrigation parts (items 7-18) was received from Boardtronics and is recommended for award. The second low bid for LTC irrigation parts from Professional Turf is recommended for award as a secondary contract that will only be used if the primary vendor cannot fulfill the needs of the City.
Financial Consideration
Funds are available in the FY2015/2016 budget (314710-63065 and 314810-63065) for irrigation parts and will be charged accordingly on orders through the end of the current year. Funding for future fiscal years will be paid from that year's approved budget.
