Analysis
On, June 21, 2011 the City Council approved a contract with Trafficware, formerly Naztec, Inc. for the purchase of traffic signal controllers and cabinets for new construction projects for the Transportation Department, as well as replacements and inventory for the Public Works Street Division. The agreement was for one year with the option to renew for four additional one year periods. The original contract was awarded for $232,410.
As part of Renewal #3 expenditures for traffic signal cabinet base mounts were reduced from 15 units to 10 units causing a decrease in the contract of ($35,750). Additionally 5 traffic signal cabinet base mounts with MMUs were added which increased the contract by $32,375. The combined change caused the contract to exceed the $50,000 threshold for cumulative changes and, therefore, requires City Council approval.
Staff requests City Council ratify renewal #3 at an annual cost of $229,035 and authorize the city manager to execute future renewals so long as sufficient funding is appropriated by the City Council to satisfy the City's obligation during renewal term and as long as total cost of the price agreement does not increase by twenty-five percent (25%) of the original contracted amount.
