Analysis
On July 12, 2016 Council awarded a $150,375 price agreement contract to Iteris, Inc for traffic signal controllers and cabinets resulting from RFB# 16111. After two years purchasing off this price agreement, the manufacturer of the traffic signal cabinets has pulled the cabinet bases from this contract, however, all other items are still available and Staff recommends keeping this contract.
This proposed change order & renewal, removes the cabinet bases, reduces the contract value to the new estimated annual total of $75,750 and lastly renews the contract for another one year term with a new expiration date of June 30, 2019. Chapter 252 of the Local Government Code requires that anytime a Change Order decreases a contract's value by more than 25% it be approved by the governing body.
Purchasing Staff have since found a City of Arlington contract available to us through our master interlocal agreement with Arlington, allowing us to purchase the needed cabinet bases. The controllers will continue to be purchased through this price agreement, 16111-Traffic Signal Controllers and Cabinets, if approved.
Financial Consideration
Funds are available in various departments operating budgets and will be charged accordingly on orders through the end of the fiscal year. Funding for future fiscal years will be paid from that year’s approved budgets.
