Analysis

A price agreement for Pavement Resurfacing Services was awarded to Reynolds Asphalt and Construction Co. as primary vendor on October 1, 2011.  The agreement was for one year with the option to renew for four additional one year periods.  The annual contract amount was awarded for an amount not to exceed $2,780,213.  Renewal #3 included a price increase which increased the contract to ($3,269,104.10 annually) requested by the vendor and was approved by City Council on August 5, 2014.

 

The contract is ready for final renewal and the City staff requests the addition of an item that was not specifically listed in the original solicitation. The additional item provides pricing for petromat, a fibrous material used to extend the life of pavement.

 

The increase is more than the $50,000 which requires City Council approval.  Addition of items not specifically listed is contemplated in the initial contract. 

 

Financial Consideration

Funds are available in FY 2014/2015 budget 251210-63030 for Streets, Roads and Highway Maintenance and will be charged accordingly on orders through the end of the fiscal year. Funding for future fiscal years will be paid from that year’s approved budgets.
