Title: Price agreement for landscape maintenance materials which include ball field clay, volleyball/beach sand, and washed pea gravel from HJG Trucking (up to $27,607 annually); cushion screened sand and crushed granite from Lowery Sand & Gravel (up to $53,325 annually); class A1 rock, rip rap, and screened sandy loam from Texas Sand & Gravel (up to $133,620 annually); infield conditioner and silica top dressing golf sand from Turf Materials (up to $29,105 annually) for one year with the option to renew for four additional one year periods totaling $1,218,286 if all extensions are exercised; and authorize the City Manager to execute the renewal options with aggregate price fluctuations of the lesser of up to $50,000 or 25% of the original maximum price so long as sufficient funding is appropriated by the City Council to satisfy the City's obligation during the renewal terms

Analysis

Ground maintenance materials will be used in various projects including soil erosion control, ball field and golf course maintenance, volleyball courts and beaches, hazardous waste spills and other public works related projects.

 

Notice of bid #16084 was viewed by thirty-five vendors. There was one Grand Prairie vendor available for this commodity who did not respond.  Four bids were received as shown on attachment A.

 

The low bids received from HJG Trucking, Lowery Sand & Gravel, Texas Sand & Gravel and Turf Materials meet specifications and are recommended for award. 

 

Financial Consideration

Funds are available in various departments operating budgets and will be charged accordingly on orders through the end of the fiscal year.  Funding for future fiscal years will be paid from that year’s approved budgets.
