Analysis
On August 6, 2013 Council awarded a Fire Fighter Protective Clothing price agreement contract to Casco for an annual amount of $95,000.00 ($475,000.00 if all extensions are exercised). On June 3, 2014 renewal option one was signed to extend the contract from August 31, 2014 to August 31, 2015. This change order #1 is to correct the renewal award amount from $95,000 to $131,685.50 for current and future terms.

Staff requests City Council approval of the potential life value of the contract ($621,742.00*); approval of change order #1 ($36,685.50); and authorization for City Manager to approve and execute any additional renewal options with aggregate price fluctuations of the lesser of up to $50,000 or 25% of the original maximum price so long as sufficient funding is appropriated by the City Council to satisfy the City’s obligation during the renewal term(s).

*$95,000 initial term + $526,742.00 (131,685.50 x4) renewals 1-5 = $621,742.00 if all extensions are exercised

Financial Consideration
State statues require City Council approval of a change order when the cumulative cost of the change order exceeds $50,000. With approval of this change order, the City Manager will be able to approve the change order to a cumulative value of $50,000 without additional Council approval.
