Price Agreement for pine bark mulch from BWI (up to $11,189.75 annually) for one year with the option to renew for four additional one year periods totaling $55,948.75 if all extensions are exercised and authorize the City Manager to execute the renewal options with aggregate price fluctuations of the lesser of up to $50,000 or 25% of the original maximum price so long as sufficient funding is appropriated by the City Council to satisfy the City’s obligation during the renewal terms

Analysis
Each year, Park Maintenance staff adds 2-3” of fresh pine bark mulch to all the landscape beds throughout the Park System and Municipal grounds. This additional mulch replaces the existing mulch that has decomposed or blown / washed away and is used to conserve water, help prevent weeds from growing and provides a clean, pleasing landscape.
Notice of bid #19071 was advertised in the Fort Worth Star Telegram, the State's Electronic Business Daily, and Bid Sync; it was distributed to 13 vendors. There was one Grand Prairie vendor available for this commodity. Two bids were received as shown on attachment A.
The low bid received from BWI meets specifications and is recommended for award.
Financial Consideration
Funds are available in various departmental budgets and will be charged accordingly on orders through the end of the current fiscal year. Funding for future fiscal years will be paid from that year’s approved budgets.
