Title
Ratification of the Legistar software maintenance and support agreement, between 2010 and 2018, with MCCi, LLC for software maintenance and support for the City’s legislative agenda program in the annual amount not to exceed $18,679.50 and authorize the City Manager to execute up to five additional annual renewal options (approximately $93,397.50 for five years) for this agreement with aggregate price fluctuations of the lesser of up to $50,000 or 25% of the original contract value so long as sufficient funding is appropriated by the City Council to satisfy the City’s obligation during the renewal terms (renewal options beyond the five specified can be authorized, however, will require additional City Council approval)

Analysis
This agreement has an annual value less than $50,000, and the contract was executed by the City Manager. Because the cumulative cost with renewals of the contract exceeds $50,000, staff is asking that City Council ratify expenditures prior to 2018 in the amount of $207,127.50 and to allow City Manager to execute the current and future available renewal options (up to $93,397.50 for five one-year renewal options). Additional renewal options beyond the five specified can be authorized, however, will require additional City Council approval.
MCCi, LLC has been an excellent partner to the City and works routinely with City Staff to keep the Legistar software performing optimally.
Financial Consideration
Funding for the annual software maintenance contract with MCCi is available in the FY 2019/2020 IT Budget.
