Title: Price agreement for fleet collision repairs and painting services from Grand Prairie Ford in the amount of $300,000 annually, for one year with the option to renew four, additional one-year periods totaling $1,500,000 if all extensions are exercised; and authorize the City Manager to execute the renewal options with aggregate price fluctuations of the lesser of up to $50,000 or 25% of the original maximum price so long as sufficient funding is appropriated by the City Council to satisfy the City’s obligation during the renewal terms.

Analysis

This proposed service agreement includes repair and paint services for City owned vehicles involved in accidents and collisions throughout the year. The number of these incidents can not be forecasted, thus the projected costs can not be determined. The City has incurred over $300,000 for collision repair and painting services in previous years.

 

Notice of bid #15137 was advertised and distributed to 22 vendors. There are two qualified vendors located in the City.  Two bids were received as shown on attachment A. Staff evaluated bids based on best value for the City. In determining best value the following criteria were used:

Reputation                                                                                                                                                   15 Points

Past Relationship with the City, other municipalities                                          20 Points

Qualification of bidders services                                                                                    15 Points

 

Grand Prairie Ford’s bid meets specifications and is recommended for the award.

 

Financial Consideration

The majority of collision repairs will be charged to the Risk Fund. The remaining repairs will be charged to various departments budgets under uninsured losses.
